OPERATIONS DIRECTOR

As Operations Director at KBID, you will be the backbone that keeps our projects, our team, and our business running smoothly. This role blends technical design support, project management, financial oversight, and business development, making it a great fit for someone who enjoys variety and thrives on keeping many moving pieces organized. You will work closely with our design team and firm leadership to ensure projects are documented accurately, budgets and invoicing are handled properly, and client and consultant relationships stay strong from proposal through completion.
Responsibilities:
Project & Technical Support
Assist with technical drawings, documentation, and specification manuals to support the design team and KBID’s projects.
Oversee project management processes, keeping schedules, deliverables, and communication on track across all projects.
Support coordination between consultants, contractors, and internal team members to keep projects moving efficiently.
Financial & Administrative Operations
Prepare invoicing for review with owner and send to clients to keep the firm’s finances organized and current.
Support budgeting and financial reporting for KBID team, projects and overall firm operations.
Maintain organized systems for contracts, proposals, and project documentation.
Client & Business Development
Serve as a key point of contact for client coordination, ensuring clear, timely, and professional communication.
Support business development efforts, including identifying new opportunities and building relationships with prospective clients and partners.
Draft and refine proposals, bringing clarity and professionalism to KBID’s client facing documents.
Team Coordination
Coordinate across departments and team members to keep projects and daily operations aligned.
Foster clear communication between design staff, leadership, and external partners.
Help implement and refine internal processes as the firm grows.
Qualifications:
NCIDQ or Registered Architect (KS &/or MO) required.
Bachelor’s degree (Master’s a plus) in Interior Design or Architecture preferred.
10+ years of experience in interior design, architecture, project management, or business operations.
Strong working knowledge in all design phases, including SD, DD, CD, CA/CO, and FFE Specification & Procurement, with the
ability to produce code compliant construction documents.
Proficiency in Revit, Enscape, InDesign, Bluebeam, Photoshop, Microsoft Excel, and Word.
Solid understanding of accounting principles and experience managing invoicing and billing.
Proven business development experience, including proposal writing and client relationship building.
Excellent organizational, time management, and written and verbal communication skills.
